Draft pending legal review. This text is written to be accurate but has not yet been checked by a lawyer. Two points are still open: the controller's contact address, and the liability wording in the terms.
What we hold
Your account is a nickname you chose and a scrambled version of your password. Optionally, the two framework placements you selected. That is the complete record. No name, no email address, no employer, no cohort year.
We do not keep IP addresses or browser details, including on sign-in sessions. There is no analytics of any kind, no third-party tracking, and therefore nothing to consent to — which is why you were not shown a cookie banner. The only cookie is the one that keeps you signed in.
Where it is held
On a server in Nuremberg, Germany, with backups to European-owned storage. Nothing is stored outside Europe and nothing is shared with anyone.
We should be precise rather than flattering: a self-chosen nickname is pseudonymous, not anonymous. In a society of a few hundred alumni a nickname often identifies its owner, so it is personal data under both the GDPR and the revised Swiss Act, and we treat it as such.
Surveys
Participation and answers are written to two separate tables with no connection between them. One records that you responded, so you cannot respond twice. The other records what was said, with no member attached. No column could join them, so the question "who said this?" has no answer available to anyone — including an administrator with full access to the database.
The consequence, stated plainly: we cannot delete your individual survey answers on request, because we could not identify which were yours. This is said here, and on every survey, before you answer.
Your rights
You can see everything we hold about you on your own account page, and delete your account at any time, which removes the record entirely. With no email address on file there is no self-service password reset: an administrator issues a single-use link directly.
Who is responsible
The site is operated personally by the administrator of the Oxbridge Zurich AI for Business Transformation WhatsApp group, together with a co-administrator acting under their direction. The Oxbridge Zurich Alumni Society is not the controller and does not operate this site.
